The use of mobile devices has altered numerous facets of clinical practice and nursing care (Mankowitz, 2018). The adoption of mobile devices assists healthcare personnel in numerous ways by providing access to point-of-care tools that enable enhanced clinical decision-making and patient outcomes (Sibbald et al., 2019). Mobile functionality facilitates provider adoption of electronic health records and communication between providers and healthcare facility workers.
As such, the document addresses a call for proposals for suppliers who can provide these services in accordance with specified criteria.

Critical Requirements in a Request for Proposal (RFP)

A request for proposal (RFP) is a document and solicitation that expresses an organization’s requirements or availability of a particular service while allowing potential vendors to submit proposals in response to the opportunity. Organizations develop RFPs to gather needs for upcoming projects, which they view to be bids to prospective agencies and contractors. Following that, the firms submit bids in order to be granted a contract based on the RFP specifications. The process of developing an RFP entails several processes, external communication, and contract negotiation. It is critical to gather critical information prior to making a final choice (Sibbald et al., 2019). The stages involved in generating an RFP are as follows: preparation of the RFP document, client or vendor discovery, construction of a vendor shortlist, and vendor follow-up. Once the organization has completed its follow-up with the selected suppliers, it moves on to the final review and identifies issues that must be resolved prior to the contract’s eventual signing (Mankowitz, 2018). The organization and project team then define the project’s objectives, elicit requirements, and budget based on the specifications.

Vendors

Vendors that provide electronic health record products with mobile functionality set the foundation for the project’s execution and fulfillment of customer expectations. Among the major vendors tasked with executing the project is EPIC, which offers an easy-to-use, employee-owned, and developer-led system.
The vendor’s EHR system has mobile capabilities that is faster and more accurate, reducing the likelihood of errors. Cerner, the second vendor, provides health information technology solutions and offers both onshore and offsite hosting (CareCloud, 2020). Their system is compatible with revenue cycle management solutions. Athena Health is the third vendor, offering a cloud-based solution that is well-suited for big multi-physician hospitals or groups. Others, including as Allscripts and Eclinicalworks, offer a variety of mobile capabilities through their EHR packages.

Requirement for the Selection Process

Cost, quality, safety and delivery, social responsibility, and convenience are all basic selection factors in project management. Additionally, the criteria should take into account the system’s simplicity, risk, agility, and service offering. The selection process is crucial in reducing costs and time to market, while also increasing the possibility for overall quality improvement (Amlung et al., 2020). Vendor demonstrations are crucial and can influence final purchase choices by demonstrating the capabilities of the product and its advantages to the company.

The business will be able to select the best two vendors based on their costs and benefits to the organization after presenting the numerous features that each vendor offers. As a result, the selection process will prioritize the most versatile and agile application with a simple and better end-user interface (Aldosari, 2017). Additionally, end users will test the product for defects and ensure that it is delivered in a timely manner. As a result, the vendor chosen should have installation capabilities to ensure that the system is functional and fulfills the organization’s objectives and standards.

Third-Party Organizations’ Ratings

Third-party entities, such as KLAS research, are crucial in promoting the most appropriate software and services given by organizations. KLAS takes an unbiased and candid approach to reviewing software programs based on client feedback. Third-party ratings from organizations such as KLAS are critical since they are dependable and reputable and assist firms in making more informed decisions. KLAS conducts in-depth interviews with clients who utilize a variety of applications from a variety of suppliers in order to determine their functionality (KLAS, 2020). KLAS analyzes data from client interviews and published reports to rank various health care software packages. Therefore, before picking a vendor and their programs, it is critical to review the rankings of these goods from third-party organizations like as KLAS, which provide feedback from clients who have previously used the software.

Site Visits and User Interviews

Numerous publications demonstrate that diverse firms value input from clients who participated in various vendor programs. Additionally, the company should examine how it will migrate data if the contract is terminated. As a result, the price model should include these information, as well as the length of any modifications that occur as a result of contract termination. Additionally, the price model should include the cost of system upgrades and maintenance of the mobile capabilities integrated with the EHR system. The specifications of the price model should also include compliance with regulatory requirements, warranty conditions, and duration (Sibbald et al., 2019). Additionally, the cost should include the expense of skilled trainers who will facilitate essential knowledge during the program’s implementation.

Conclusion

In any project, the requirement for a request for proposal (RFP) is critical because it enables an organization to evaluate the resource capabilities of possible vendors and the associated costs of executing changes.

For your response post, you do not need references as personal experiences would count as response posts. If you however cite anything from the literature for your response post, it is required that you cite your reference. You should include a minimum of THREE references for papers in this course. Please note that references should be no more than 5 years old except recommended as a resource for the class. Furthermore, for each discussion board question, you need ONE initial substantive response and TWO substantive responses to either your classmates or your instructor for a total of THREE responses.
