Professional Practice Experience (PPE) Policies 5 Professional Practice Experience Policies 1.0 General Policies: 1.05 PPE sites are selected based on availability of facilities to participate, and assignment is at the discretion of the Indiana Tech HIM PPE Coordinator/Instructor. 1.06 PPE sites must sign a PPE agreement before accepting PPE students. 1.07 The student is urged to identify sites in their area for the on-site experience and communicate these sites to the Indiana Tech HIM PPE Coordinator/Instructor. The student is encouraged to contact health information professionals regarding a site experience. Contact will be made with the Indiana Tech HIM PPE Coordinator/Instructor to determine the availability and appropriateness of the site. 1.08 The PPE Site Agreement between Indiana Tech and the PPE site may include entrance requirements that each student may be required to undergo. On January 4, 2004, the Joint Commission on Accreditation of Healthcare Organizations (TJC), Ethical Behavior Presentation
instituted new regulations for accreditation of hospitals, home health agencies, clinics, etc., to gain or maintain accreditation status. One of these new regulations requires that all persons who are involved in patient care activities, including employees, volunteers AND STUDENTS, must have criminal background checks and other healthcare-related checks. 1.03 Students will follow all organizational and departmental policies and procedures for employees at the site. 1.04 Students are responsible for transportation to and from each site. 1.01 Students must report to the PPE sites at the specified time. If a student is unable to report to the assigned site on time, both the Site Supervisor and the PPE Coordinator/instructor must be notified as soon as possible. 1.02 Time must be made up before the end of the session and at a time convenient to the clinical site. 2.0 Confidentiality Policies: 2.01 Students are provided with supervised “real world” learning experiences to develop insight, understanding and skill in health information technology/management practices. Students in the clinical setting will have access to protected health information. The Health Information Management faculty members are aware and considerate of the patient’s right to privacy. Students are required to adhere to applicable laws and to the American Health Information Management Association (AHIMA) Code of Ethics that provides definitive and binding standards of conduct. 2.02 The student shall not disclose any patient’s identifiable medical or demographic information gained from the PPE assignments in a health information management/technology department. The identifiable medical or demographic patient information must never be copied onto any storage media, including but not limited to, jump drives, cameras, or sent via email, FTP, texting or other types of electronic or telephonic communication. 6 2.03 The student shall not disclose any protected health information gained from review of medical records, databases, studies, committee minutes and reports or from any other source, including the process of production of the writing and reporting activities and assignments required for this course. 2.04 The student shall not acknowledge or confirm the fact of an inpatient or outpatient stay or an emergency department visit of a patient if knowledge of the hospital admission was gained from information generated from within the Health Information Management/Technology department or the health facility while on PPE assignment. 2.05 The student shall follow the written privacy and security policies and procedures as determined by the facility where the student is completing the PPE assignment. 2.06 The student shall adhere to all provisions of the Health Insurance Portability and Accountability Act of 1996 (HIPAA), the HIPAA Privacy Rule, the HIPAA Security Rule, and all state and federal legislation related to the student’s scope of practice. The student is reminded that applicable laws may place the student who violates HIPAA into an actionable category of fines or imprisonment through enforcement of the law. 2.07 Violation of the privacy and security practices as described in HIM PPE Policy 2.0 will be cause for failure of the HIM 4950 PPE/HIT 2600 PPE course and possible dismissal from the Health Information Management/Technology program. 3.0 Ethical Behavior Presentation
Insuring the Student Intern 3.01 Indiana Tech provides Commercial General Liability and Liability for students in Internships that are required or contribute to completion of their academic program. This coverage is for claims arising from any real or alleged act of negligence by the student while participating in the described internship programs. Upon request, Agencies that require a Certificate of Insurance of the Institute’s liability insurance program for interns should contact the HIM Program Director. Insureds: Students enrolled in the insurance, while participating in activities which are a part of or a requirement of the student’s curriculum. Exclusions: NO coverage is provided for personal liability, (i.e., automobile, health) unrelated business or a profession not specifically listed on student’s enrollment. The above is only a brief summary of the coverage. In the event of any incident that is likely to result in a claim, the student and/or the agency should notify Indiana Tech immediately. The insurance company requires immediate notification regarding claims, demands, summons, notice of suit, or incidents. 7 4.0 Scheduling HIM 4950 PPE/HIT 2600 Enrollment and Preparation Policy: 4.01 The student should enroll in HIM 4950 PPE/HIT 2600 PPE course as they near completion of the HIM bachelor degree or HIT associate degree and in a session in which they anticipate they will have met the course prerequisites applicable to their initial enrollment date. Demonstration by the student of professional conduct is also a prerequisite to site placement. The prerequisite requirement is Approval of Program Director. HIT 2600 Professional Practice Experience is the last course taken in the associate program. It equips the student with the knowledge base to perform effectively at ta PPE site. The prerequisite requirement is that all other courses in the program are completed. Enroll in HIM 4950 PPE/HIT 2600 3 sessions (15 weeks) prior to the session start date. This is to allow sufficient time to make arrangements for the PPE site securement and for all site requirements to be met. 4.02 Students must initial, sign, and send the HIM 4950 PPE/HIT 2600 PPE Student Agreement to the PPE Coordinator by email or mail (see address listed in the appendix), to be received 3 sessions (15 weeks) prior to the session start date 4.03 A letter of acceptance from the PPE site must be received by the PPE Instructor by email or mail (see address listed in the appendix) 2 session (10 weeks) prior to the session start date. 4.04 Ethical Behavior Presentation
Once the letter of acceptance is received, the student will then begin appropriate additional preparations as required and outlined by the facility for admittance as a student to the PPE site. All additional entrance requirements of the PPE site must be met before the student can attend at the PPE site. 4.05 It is the student’s responsibility to arrange the time and appointments necessary to accomplish the site entrance requirements. 4.06 It is the student’s financial responsibility to complete the site entrance requirements, if there is any fee. 5.0 Professional Development Policy: 5.01 For all activities at the PPE site, students are expected to adhere to the professional dress code at the PPE site. 5.02 Student attitude and interpersonal communication skills must be appropriate and professional. 8 5.03 The student may be released from the PPE site before the completion of the required hours: A) If the student is not performing in a satisfactory manner; or B) Site entrance requirements are not met. If either situation arises, the PPE may be terminated, the HIM 4950 PPE/HIT 2600 PPE course will result in a failing grade, and graduation will be adversely impacted. If a student fails PPE on the initial attempt, it will be the student’s responsibility to reschedule the class and secure a site for future attempts. 6.0 Policy on Experience Equivalency: 6.01 If a student feels she/he has equivalent experience in any of the activities to be performed in the PPE and is currently employed in a position where the activities are being performed, an alternate activity will be assigned to ensure  that the student is adding valuable knowledge, skills, and experience in the career field for the purpose of increasing employability and earning potential. 9 Ethical Behavior Presentation
SECTION II. Student Information 10 Introduction – Students The time has arrived! You are about to enter an exciting and challenging phase of your educational career – your professional practice experience (PPE). The value of your PPE will be determined, in large part, by your attitude, work ethic, and professionalism. YOUR desire to learn and contribute is critical. This manual is designed to guide you through your PPE. You are asked to read it carefully prior to your arrival at the PPE site. It will guide you in acquiring an overall experience in the working environment, and assist you in functioning more effectively within a Health Care Organization (HCO). Each student in the Health Information Management and in the Health Information Technology Program completes a PPE. This involves the performance of technical health information skills in work settings where health records are managed. The setting can be in a healthcare venue or healthcare-related venue where data associated to patient healthcare encounters is managed at a similar level of depth as the acute care activities described in this handbook. Many non-traditional settings provide a valuable professional practice experience. Examples of these types of facilities are listed in the Terminology Definitions HIM/HIT PPE. The PPE is designed to provide students with practical work experience in the HIM/HIT competencies and domains that focus on skill building and practical application of theory. The PPE is experience and there may be several ways in which to gain this experience. However, at least a portion of the PPE must be a PPE site. The nature, location, and time in the PPE is outlined by their HIM/HIT program. All student outcomes and course objectives are clearly identified in the course syllabus We are grateful to the facilities and professionals that host student PPEs. These Health Information Professionals have chosen to participate in the PPE because of their commitment to the education of health information professionals.
